You would be best to get the night auditor to actual get it logged so that it ties it to the hospital visit as close as

possible. The better documentation, the better for you. You may even request the general manager's email address so that you can send a message to better log the occurrence. A good GM will contact you ASAP; they will want to do everything they can to mitigate the situation.
